RESPONSIBILITIES License Coordination & Administration
- Oversee daily administration of the Asana license portfolio across 300+ client accounts
- Manage renewals, plan changes, and order processing
- Maintain up to date records including user counts, subscription tiers, billing schedules, and contract details
- Respond to quote requests and ensure timely delivery of pricing information
- Administer and maintain the partner and user portal for account accuracy and cleanliness
- Work with internal teams to support onboarding and ongoing client needs
- Contribute to continuous improvements in licensing workflows and internal systems
- Track account activity, engagement levels, and license utilization across the portfolio
- Analyze data to identify patterns, risks, and opportunities for growth
- Build and maintain reporting dashboards and performance metrics
- Proactively identify irregularities, discrepancies, or upcoming renewal concerns
- Spot opportunities for upgrades or additional licenses based on account usage and trends
- Share potential expansion opportunities with appropriate team members
- Assist the sales function with accurate reporting, quotes, and supporting documentation
- Act as a point of contact for operational coordination with Asana, including order submissions and portal management
- Stay informed on product updates, subscription structures, and administrative tools
- Escalate issues such as provisioning errors, billing inconsistencies, or delays as needed
- Direct experience working with Asana is required
- Exceptionally organized with strong attention to detail
- Analytical mindset with experience interpreting and reporting on operational or account data
- Background in account coordination, operations, B2B environments, or similar roles
- Able to manage a large volume of accounts and administrative tasks concurrently
- Familiarity with CRM platforms such as HubSpot and partner systems
- Self motivated with the ability to refine and improve processes independently
- Strong communication skills and reliable follow through
- Must be located in Canada
- Availability aligned with Eastern Time Zone working hours
- Canada based candidates only
